Privacy Policy

This is template language drafted from the product's actual data practices, with [PLACEHOLDER] fields to complete. Have qualified counsel review and adapt it before publishing. Nothing here is legal advice.

[COMPANY LEGAL NAME] (“Hearing,” “we,” “us”) operates Hearing, a practice and communication-coaching tool for immigration and visa interviews. This policy explains what we collect, how we use it, and the choices you have. By using Hearing, you agree to this policy.

Information we collect

  • Account information. Your email address and authentication identifiers, handled through our authentication provider.
  • Practice context. Profile details and case context you choose to provide so the officer can ask relevant questions.
  • Uploaded documents. Immigration forms (e.g., your I-130) you provide to set up your interview profile. Details may be extracted from the PDF to tailor questions.
  • Session content. Your interview transcripts, answers, scores, and reports.
  • Usage data. Basic, technical information needed to operate and secure the service (for example, plan usage and request metadata).

Sensitive identifiers we do not store

We never store Social Security numbers, USCIS A-numbers, passport numbers, or credit-card / bank-account numbers. These are detected and stripped before anything is saved. Please avoid entering such numbers where they are not requested.

Camera & nonverbal analysis

Camera-based nonverbal feedback is optional and runs locally in your browser. We do not upload or store raw video; only derived, non-identifying coaching signals (such as composure or pace) inform your report.

How we use information

  • To deliver the practice experience — generating questions, scoring answers, and producing reports.
  • To operate, secure, maintain, and improve the service.
  • To process subscriptions and prevent abuse.
  • To communicate with you about your account. We do not sell your personal information.

How information is stored & protected

Stored documents and sensitive fields are encrypted at rest. You control how long uploads are retained: set an automatic retention window (for example, 7, 30, 90, or 180 days), apply a delete date to individual uploads, or delete all of your documents, sessions, and reports at any time from your account settings.

Service providers (sub-processors)

We share limited data with vendors who help us run Hearing, under contractual safeguards:

  • Authentication — to create and secure your account.
  • Payments — Stripe processes subscriptions; we do not receive full card numbers.
  • AI providers — to generate and evaluate interview content.
  • Cloud hosting & storage — to run the application and store your data.

Cookies & local storage

We use cookies and browser local storage for essential functions such as keeping you signed in and remembering preferences (for example, your theme). We do not use them to sell your data.

Your choices & rights

You can access, correct, export, or delete your data from your account settings, or by contacting us. Depending on where you live, you may have additional rights under applicable laws.

Children

Hearing is not directed to children under 16, and we do not knowingly collect their information.

Changes

We may update this policy; material changes will be reflected by the effective date above.
